Home Meet Procedures

The Shoreline Gymnastics Parents Group raises money for the benefit of the gymnasts. When your gymnast joins the team (Level 2 (Developmental/Pre-team) and Levels 3-10), your family is automatically enrolled as a member of the Parents Group. All members are expected to assist with the various functions during a minimum of one home meet per season (spring & fall). At the beginning of the competing season, you will be arbitrarily assigned to work during one of the home meets. If you are unable to work during your assigned time, it is your responsibility to find a substitute. Older gymnasts can fill in for their parents if necessary.

The following is a brief description of the various duties that you might be signed up for during a home meet. If you have never done a job that you have been assigned, you will be given additional detailed instructions prior to the start of the meet.

Door Ticket Sales
The admission fee to the gym during a home meet is $2 per person. If you are signed up to sell door tickets, please be at the gym 1 hour before the start of a meet. You will collect the admission fee and pass out the rotation schedule. This job usually finishes up about 30 minutes into the start of the meet.

Concession Stand
The concession stand is funded through donations of the members of the Parents Group. Before each home meet, the gymnasts will receive an envelope asking for a monetary donation of $5 or a contribution of a baked good. The amount of the monetary donations requested will vary depending on the needs of the concession stand. We do our best to reduce the out of pocket costs to the parents as best as possible still allowing us to run a presentable concession stand.

The concession stand requires several people to make it run smoothly.

Set Up
If you are signed up to set up the concession stand, you should plan to arrive at the gym approximately 1 hour before to the start of the meet. You will need to do the following:

1. Set up the tables in the back corner of the waiting area - see Joel or Diana for table locations. It doesn't really matter how the tables are set up - whatever works best for the stand.

2. All supplies are either stored in the "attic" area over the restrooms or the small locked closet in one of the restrooms. You will need to bring out the following items:

a. Coffee Pot & coffee
b. Tea Pot & tea bags, hot chocolate
c. Table Cloths
d. Paper goods - napkins, plates, utensils
e. Baskets/bowls - for the snacks
f. Food Items (chips, candy, granola bars, etc)
g. Drinks - water, soda
h. Extension cords
i. Electric grill - for hotdogs

3. We like to sell fresh items at each meet (donuts, bagels, hot dogs, etc). If these items are not already at the gym, you may be asked to stop at the grocery store (usually Stop & Shop) to pick up a few items prior to the start of the meet (½ & ½ , cream cheese, butter, fruit, ice, etc). A list and money will be provided in the event that you need to stop at the store.
4. Many parents provide fresh baked goods. They are generally dropped off at the beginning of a meet. Baked goods should be priced according to their size - please use your discretion.
5. Extra supplies can be stored under the tables or in the cubbies behind the concession stand area so you can easily restock the stand as necessary. Having to go back up into the "attic area" is not very convenient during a meet as the waiting area is generally crowded.
6. Food is not allowed in the gym - guests may need to be reminded as necessary.
7. Refrigerated items can be located/stored in the office refrigerator.

Sales
If you are signed up for sales at the concession stand, you can expect to work during the meet. Please plan to arrive 15 minutes before the start of a meet session, as you may need to assist the previous person with any last minutes details. Generally, we like to have 2 parents running the stand. However, we don't always have enough volunteers. Please refer to the printed price list for the various items we sell. Each meet tends to vary with the selection of items offered.

If you are working on the concession stand during the final meet of the day, please offer any left over baked goods to the Shoreline Gymnasts. They don't generally save well and the girls love the "free" treats!

Clean Up
If you are signed up to clean up the concession stand, you should plan to stay after the end of the meet. All of the items need to be cleaned and put back up into the "attic" area above the restrooms. The sink in the bathroom at the back of the gym is bigger and easier to use when cleaning various items (coffee pot, electric grill, crock pot, etc).

Meet Volunteers
The team needs help during meets in areas such as timing & scorekeeping. Please see any member of the coaching staff for additional detailed instructions timing any of the events.

Timing
Volunteers are needed to time warm-ups and meet events as follows:
1. Bar Warm-ups
a. This job requires the timer to keep track of the time for gymnasts warming up on the bars. Each different level has its own warm up requirements. You will be advised how many minutes per gymnast. You will add the number of girls multiplied by the number of minutes for each group warming up. Please give the coach a 1-minute warning before the end of the warm-up session.
2. Beam Warm-ups
a. This job requires the timer to keep track of the time for gymnasts warming up on the beam. Each different level has its own warm up requirements. You will be advised of the warm up time allowed per girl.
3. Beam Event
a. This job requires the timer to keep track of the time for gymnasts during competition on the beam. Each different level has its own competition requirements. You will be advised

Scorekeeper
Two volunteers are needed to run the computer-scoring program.
1. Enters the individual scores into the computer
a. Enter the gymnast ID number located on the envelope
b. Enter the event score printed on the envelope (the program automatically knows the rotation schedule of each gymnast)
c. If you make a mistake entering a score, you can re-enter the gymnast ID number and correct the error.
d. After the final event, refer to the computer for each gymnast's all-around score and write it on the envelope accordingly
2. Put the colored ribbons into the envelopes
a. Once the score has been entered into the computer, you will be required to put the colored ribbons into the envelopes. Refer to the "cheat sheet" taped to the score table for ribbon colors.
b. Envelopes are kept together by squad and in rotation order. After a rotation is completed, you will bring the envelopes to the judges according to the next event in the rotation schedule.
c. Rotation schedules will be provided at the table for your reference.


General Clean Up
All parents present at a meet are expected to help clean up the gym at the end of a meet. This clean up may require putting mats away, putting folding chairs away, picking up papers off the floor, assisting with the Concession Stand clean up, etc.
